Bookkeeper

Role Overview
Our client is a reputable mechanical/HVAC subcontractor delivering service, retrofit, and construction projects across the NYC metro area. Due to continued growth, they are seeking a Bookkeeper to own day-to-day accounting and support job-cost visibility for project and service operations.

Your main duties will include, but not be limited to:

• Full-cycle A/P & A/R: vendor bills, POs, three-way match, customer invoicing (T&M, progress/AIA), credit memos, retainage.
• Cash management: daily postings, bank and credit-card reconciliations, deposits, AR aging and collections follow-up.
• General ledger & month-end: journal entries, accruals, prepaids, fixed-asset tracking; prep basic P&L / Balance Sheet.
• Job cost accounting: cost coding, WIP and % complete support, change-order billing support, coordination with PMs/Service.
• Compliance & admin: vendor onboarding, COIs, lien waivers, 1099s; assist with sales/use tax and year-end audit requests.
• Liaise with Payroll/HR on certified payroll/union reporting (as applicable) and with outside CPA as needed.

To be successful in your application, you will possess the following:

• 3–5+ years of bookkeeping/accounting experience; construction or subcontractor environment strongly preferred.
• Working knowledge of GAAP, AIA billing/retainage, job cost coding, and basic WIP concepts.
• Proficiency with accounting software (e.g., QuickBooks Enterprise, Sage 300 CRE/Timberline, Foundation, or similar) and Excel (VLOOKUP, PivotTables).
• Detail-driven, organized, and comfortable partnering with project managers, service dispatch, vendors, and clients.
• Nice to have: Procore/ServiceTitan/Viewpoint familiarity; certified payroll/prevailing wage experience.
